Opening and Closing Links in DRS

Patrons sometimes need access to digital objects that are restricted for issues relating to rights and/or ethics. In those cases people with the appropriate level of DRS access can edit the object metadata to change the access flag. This can be done using either the owner supplied name or the URN.

Owner Supplied ID/Filename (ex. modbm_ms_91, hou00038c00223)

  1. Log in to DRS2
  2. In the "Quick" search field, select "Files" from the "Search for" drop down menu

  3. Copy filename or ref id in search box and select search
  4. In the drop down menu directly above the search results, select either "Select all items on this page" (if only 1 page of results) or "Select all items in this result set" (if 2 or more pages of results)
  5. In the drop down menu labeled "Action" select "Bulk edit metadata"
  6. In the drop down menu labeled "Field name" select "Access flag"

URN (ex. urn-3:FHCL.HOUGH:35626210)

  1. Log in to DRS2
  2. In the "Quick" search field, select "Objects" from the "Search for" drop down menu
  3. Copy URN into the search box and select search

  4. Copy the resulting under "Owner Supplied name"
  5. In the "Quick" search field, select "Files" from the "Search for" drop down menu
  6. Copy filename or ref id in search box and select search
  7. In the drop down menu directly above the search results, select either "Select all items on this page" (if only 1 page of results) or "Select all items in this result set" (if 2 or more pages of results)
  8. In the drop down menu labeled "Action" select "Bulk edit metadata"
  9. In the drop down menu labeled "Field name" select "Access flag"
  10. In the drop down menu labeled "Access flag" select "P" to open links and "N" to close links
