Single Item Digitization Submissions

In response to ongoing demand for single item digitization, we are experimenting with a new model of internally-funded digitization of single item requests. These digitization requests may come up through a discovery during processing or cataloging, a unique reading room request, or a stumble through the library catalog.

We have budgeted $5000 dollars for the first year's experiment model, with the following loose criteria 

  • Submissions will be accepted on a rolling basis via email to the Digital Collections Program Manager (DCPM)
    • Submission emails should be in the following format 
      • Subject Line: Single Item Digitization Submission
      • Email Body:
        • Item Title:
        • Item Call Number:
        • Digitization Justification
  • Submissions will be reviewed on a first-come, first-serve basis
    • In the spirit of fairness, we ask that requests are limited one per person, per month
  • Submissions must meet the following criteria
    • Total cost per request: under $500 (this cost is decided through conversation between the DCPM and Maggie Hale, Librarian for Collections Digitization)
    • Item must require no outside conservation 
      • Items that require conservation at Weissman are not eligible
      • Items that require internal conservation may have extended scheduling, so as to not disrupt other priorities 


Tentative Process

  1.  Properly formatted email is sent to DCPM
  2. DCPM sets up meeting with Librarian for Collections Digitization to figure out cost and scheduling
    1. If item is over-cost, submitter is notified on ineligibility 
    2. If item is in need of conservation review, this is scheduled for next availability 
      1. If item needs conservation at Weissman, submitter is notified on ineligibility 
  3. DCMP prepares metadata and delivery schedule with Imaging Services
  4. Once item is digitized, submitter is updated


This is an experimental program, so scheduling and processes are flexible and subject to change.
