Printed Material

Overview

Printed materials typically include off-prints of articles, issues of magazines, programs, pamphlets, brochures, auction catalogs, book catalogs, newsletters and copies of books.  If any of these materials are highly annotated, the material becomes a manuscript and should be described as a composition, not lumped into this series.

Sorting

Depending on the nature of the printed material and nature of the collection itself, do the following:

In general, keep printed material together with the item to which it is related within the collection:

  • Keep printed copies of compositions (especially, annotated copies) with the composition series. For more detailed instructions see Compositions section.
  • Keep enclosed brochures, newsletters, programs, off-prints of articles, etc. with the correspondence series.
  • In many collections, especially collections related to performing arts, programs constitute a separate series. They could be arranged by production title or chronologically.
  • Magazines and books not directly related to the manuscript material in the collection (items from personal libraries, gifts) could be separated from the collections. Consult curator before doing so.

Separate duplicate copies of magazines, programs, newsletters, brochures, etc. Consult curator on the treatment of the separated material. It could be discarded or incorporated into the general holdings.

Information on all separated material should be listed within the "Separated Material" elements in the finding aid with the indication of its treatment.
