Changing a PO Line's Bibliographic Reference

About the POL Bibliographic Reference

The Bibliographic reference of a PO line refers to the information displayed in the PO line description tab (second tab, following Summary)

It is possible to change the bibliographic record reference of an active (not cancelled) PO line to a different bibliographic record, or the same but updated bibliographic record without changing the inventory. Only the PO line description information is changed.

This functionality is useful, for example, if an order is made on a short (stub) bibliographic record. In this case, the PO line description will display information from the short bibliographic record.

If at some point the short bibliographic record gets updated with a full bibliographic record, the PO line description will still have the (now-inaccurate) old description of the title.

In a case such as this, you can click Change Bib Reference to update the PO line description to the description of the new version of the record.

About the Identifier

If there is already a value in the Identifier field (ISBN / ISSN) of the PO LIne Description, this value will not be changed. This field cannot be manually edited and saved, once it contains a value.

Search for the Order line and open it in the Edit mode.
Click Change bib reference (in the ellipsis on the top of the screen) on the POL Summary tab
Change bib reference is also an action option within a POL list.
A confirmation message will appear stating that the POL will change the link to the bibliographic record - this change will not impact the inventory and will only update the PO Line's description
Click Confirm
An initial Repository search will be conducted based on the bib information present in the POL (such as ISBN or title)
Do an additional search if needed
Click on the record you would like to choose
Click on Save
The PO line description will be updated / or the PO line will be linked to a different bib, or same but updated bib, without moving the inventory
