Do you want to add a ‘book cover’ to HOLLIS for an object in DRS, and skip the extra functionality described below? It’s now simple to do:

Why might you want to use this feature?

Examples (not an exhaustive list)

  • Display cover art for an item in special collections

  • Show a reference copy of an archival object

Accessibility information

Please make sure you are familiar with the Harvard Library Accessible Content Guidelines, in particular Section 4 regarding images. If the images you are providing are decorative (e.g. covers) or include content that is already described in the bib (e.g. imprint statements), you do not need to provide a text alternative to the image. If you have questions about text alternatives contact Harvard Digital Accessibility Services.

Tip: you can use the Alma AI metadata assistant to generate text in the bibliographic record based on images

 

Overview

  • In this workflow you will be adding a single Representation for your highlighted content. The Representation will have multiple files in it with your images.

  • You will edit the bib record and add a local 919 field, which will trigger the HOLLIS display to show the viewer with the images.

  • At any time in the process, you can save your work and return to it later. Use the ‘All titles’ search in Alma to easily access your Digital Representation. You may also find it using the Digital Titles search.

Step 1 -Add Digital Representation

From the Alma search results for your bib, choose the Actions menu and select Add Representation. Alternatively, from the bib in the Metadata Editor, choose the option to Add Inventory.

Step 2: Choose a Collection

  • Every Representation must be associated with a Collection. (Representations can be moved to different Collections whenever necessary.)

  • If your unit has a dedicated collection, please use it. Otherwise, use: Local thumbnails and highlights.

  • If your unit would like a dedicated Collection, consult with LTS.

This is the Label for the Representation (not the individual images) and is not displayed in HOLLIS. for Auxiliary type representations. You may use it if you wish.

Step 4: Add Files

NOTES:

  • if you have many Files to add, it is highly recommended that you save the Digital Representation at this time. Once you save it, it will close and you will need to re-open the Representation in order to add Files.

  • if you delete all Files it will delete the Representation too. If you need to replace a file and it’s the only one, add the new file first then delete the old one.

STEPS:

In the File Upload pop-up, drag one or more files, or choose Add Files to select them from your computer:

When the upload is complete, add a Label and choose Save. The Label field here will display in the Viewer that the patron uses.

 

 

Step 5 - Add 919 to bib

  1. Copy the Digital Representation ID for use in the bib (numbers begin with 12 and end with 3941).

  2. Edit the bib in the MDE

  3. Add field 919 with $a thumbnail

    1. Subfield $a is a controlled vocabulary so as you start to type you will see a suggestion and you can click on that to populate $a to avoid typos

  4. In subfield $b of 919, paste in the representation number.

  5. Save bib.

  6. Alma will generate a thumbnail for the search results based on the first image in the Representation.

  7. In HOLLIS beta, you will see the content in 15 minutes.
