Overview
Alma bib heading must be linked to an LC authority record
Wikidata must have an entry for that entity, with the associated LC authority record number in the Identifiers section.
If you click on the entity card in HOLLIS / Primo, you can verify which LC record is linked by looking at the resulting URL which will contain the identifier, e.g. personId=n79084784
If there are multiple Wikidata entries containing the same LC identifier, Primo will choose an image from one of them. The only way to control which one is to remove the duplicate in Wikidata.
You can use the Wikidata Query Service to search specific LC identifiers to find out if there are multiple entries.
How to update
Confirm that the person whose photograph is missing from HOLLIS is eligible for an image.
Search for their name in the Library of Congress Name Authority File.
Review search results to confirm a match. Be sure to look at details such as birth date and occupation, as many search results will have identical or similar names.
Identify a photograph in “portrait” orientation (its height is greater than its width) that meets Wikimedia Commons’ licensing requirements.
It is easiest to use a photograph that you took yourself.
It is possible to use a photograph for which you hold the rights, or an image that is in the public domain, but be prepared to provide evidence for your assertion.
It is also possible to upload an image whose creator has granted permission, but communicating this to Wikimedia Commons for approval can be complex.
If there is already an image in Wikimedia Commons that meets your needs, skip to step 6, below.
Maximum size guideline: the feature will work best if the image does not exceed 800px in height or width
If you don’t already have a Wikimedia login, create one. If you’ve ever logged into Wikipedia, Wikidata, or other Wikimedia project sites before, you already have one.
Upload your photograph using the Wikimedia Commons upload wizard.
If you took the photograph yourself:
In the “release rights” step of the upload Wizard, choose “This work was created by me…” and answer the questions that follow.
Choose either a CC0 or CC-BY 4.0 license.
If you the photograph was taken by a photographer hired by your organization:
In the “release rights” step in the upload wizard, choose the following options:
“This work was created by someone else and it is free to share.”
“I have permission to upload this work from my employer or the creator of this work.”
Use the release email generator to generate a message using the following options:
“I represent the copyright holder.”
“I want to release the media work…”
“I or others have already uploaded the file…”
You will need to select a license to release it under.
Send the generated text as the content of an email according to the instructions on the web site.
Watch for a response, in case the volunteer processing the request has questions. If asked whether the photographer has granted permission, state that it was a “work for hire.” You may want to review any contract you may have had with the photographer.
If another scenario applies respond to the prompts to the best of your knowledge. You may need to generate an email message or supply additional documentation.
Once the image is available on Wikimedia Commons (which may be immediate, or, if your upload required an email for permission, may take several days) search for a Wikidata item representing the person whose photograph you’ve just uploaded.
Open http://wikidata.org and make sure you’re logged in. This requires the same login you used on Wikimedia Commons.
Search by entering the person’s name in direct order in the search bar at the top of the page.
Once you’ve located the Wikidata page for the person in question, scroll to the bottom of the “Statements” sections.
Click on “+ add statement”.
In the box that appears, type “image”:
When a drop-down list appears, choose the option “image”.
In the box that appears to the right of “image”, type or paste the filename of the photograph you uploaded to Wikimedia Commons and select the matching option from the dropdown list:
Click “✓publish”
Edit photograph metadata
Copy the item ID from the Wikidata page you just edited. It appears to the right of the person’s name at the top of the page, and starts with the letter “Q”.
Find the photograph you uploaded on Wikimedia Commons.
Once you’ve opened the image page, scroll down to the “File Information” tab, which should be just below the image itself. Click on the tab to its right, “Structured data”.
Under the “Structured data” tab, find a box labeled “Items portrayed in this file”. In the search box below the word “depicts”, paste in the ID you just copied from Wikidata. A match should appear in a dropdown list.
You can also search for the name of the person portrayed in the photograph. (Type it in direct order, starting with their given name.) Be sure to examine the description before selecting a match, as many options will have identical or similar names.
Click on the phrase “Mark as prominent”.
Click on the “Publish changes” button.
Check HOLLIS after seven days to confirm that the image has appeared.
