General information about PO Line templates

  • Creating and using PO Line templates can save time when creating a POL. 
  • A user can chose from a set of Public templates or create any number of their own private templates. 
  • The templates save information from the POL summary tab
    • They do not save the Purchase type or PO Line owner fields

List of fields saved in a template from the POL Summary tab

  • Ordered Items section: (as long as the "Assign inventory manually" box is unchecked)
    • Number of items to add (Physical items)
    • Library/Location (Physical item and holding)
    • License (Electronic items)
    • Item policy (Physical items)
    • Receiving Note (Physical items)
  • Vendor Information section:
    • Material supplier (Physical and Electronic items)
    • Expected receipt date (Physical items)
    • Expected activation after ordering (days) (Electronic items)
    • Or expected activation date (Electronic items)
  • Pricing section:
    • Quantity for pricing (Physical items)
  • Funding section:
    • Fund (Physical and Electronic items)
  • PO Line Details section:
    • Acquisition method (Physical and Electronic items)
    • Reporting code / secondary reporting code / tertiary reporting code (Physical and Electronic items)
    • Note to vendor (Physical and Electronic items)
    • Material type (Physical items)
    • Rush (Physical items)
  • Renewal section:
    • Renewal date (Physical and Electronic items)
    • Renewal reminder period (days) (Physical and Electronic items)
  • Additional section:

To create or edit a Private template

 

  1. Follow the procedure for manually creating a PO line. See Creating a One time (Monograph) and Continuous (Standing order and Serial) Order Line: Physical for more details.
  2. Enter (or edit) the relevant fields for your template.
  3. Click Save as template, which is one of the commands under the ellipsis to the right of the "Purchase Order line details" header . The Save as Template pop-up window appears.

  4. Enter a template name. To replace an existing template, select the current template in Existing Template. You will only be able to edit your own existing templates, but you can use a public template as the basis of your own version by calling it up under the Existing templates, Changing the Template name, and saving it as a Private template.
  5. Click Save. If you are replacing an existing template. click Confirm in the confirmation dialog box. The template is saved. Note that a PO line is NOT created in this case. 
  6. You can also call up any existing POL, choose Edit and save that as a template

To delete a private template

  1. Call up any POL and click on Save as template
  2. Instead of saving, select the template you wish to delete fro the Existing template list
  3. Hit delete
  4. NOTE: only those with the Acquisitions Administrator role can delete Public templates

 

To use a Private or public template

  1. On the PO Line owner and type screen; fill in the Purchase type and PO Line owner fields
  2. choose a template from the Load from template drop down menu
