What are PO Line

Templates?

Creating and using PO Line templates can save time when creating a POL.

The templates save information from the POL summary tab

. They do not save the Purchase type or PO Line owner fields

A user can chose from a set of Public templates or create

any

any number of their own private templates. 

A public template can

Public templates

    • Can be used by everyone
  • Anyone can create a public template
    • Can be created by anyone
    • Only the template owner or an Acquisitions Administrator can edit or delete
  • the

  • A private template can

Private templates

    • Can only be seen and used by the template owner / creator

When you create an order, you can select an existing template from the initial PO Line owner and type screen

  1. PO Line type - choose the correct type
  2. PO Line owner fields
  3. Choose a template from the Load from template drop down menu

Create a New Private Template

A PO line is NOT created by saving of a template.


  1. Complete or edit ) the relevant fields for your template
  2. Click Save as template, which is one of the commands under the ellipsis Click on the row action item list icon (ellipsis icon) to the right of the "Purchase Order line details" header header
  3. Choose Save as template
    1. The Save as Template pop-up dialog window appearsopens
    2. Enter a template name To replace an existing template, select - be descriptive (so you know what it it's for) but brief
    3. Choose No for Public Template?
  4. Click Save

 

Replace an Existing Private Template 

Select the current template in Existing Template.

Create a Private Template from a Public Template

There are two ways to use a public template to create a private template

as the basis of your own version by calling it up under the Existing templates, Changing the Template name, and saving it as a private template.
  • You can also call up any existing POL, choose Edit and save that as a template
  • Click Save
  • If you are replacing an existing template, click Confirm in the confirmation dialog box
  • Note: a PO line is NOT created during the save process

    InfoASWG created some public templates to be used for training and once we go live.

    Use any POL to get to the Save as template option:

    1. Call up a public template under Existing templates
    2. Change the Template name
    3. Choose No for Public Template?
    4. Click Save

    If you know an existing POL was made with a public template:

    1. Find the POL using the search bar, in whatever way works for you
    2. Choose Edit
    3. Choose Save as template
    4. Add a Template name
    5. Choose No for Public Template?
    6. Click Save

     

    Delete a Private Template

    1. Find a PO Line
    2. Click on Save as template
    3. Instead of saving, select the template you wish to delete from the Existing template list
    4. Hit delete

      • ITS 625 / DIV / EBSCOUS / SO Non monograph
      • LAM / YANKEE / Mono
      • SCH / COUTTS / PJS (PJS = Print Journal Subscription)
    Deleting a private template
    1. Call up any POL and click on Save as template
    2. Instead of saving, select the template you wish to delete fro the Existing template list
    3. Hit delete
