Purpose: This document is meant to replace the Born-Digital Dealer/Donor Questionnaire, which is now deprecated. This questionnaire should be filled out during acquisition and should help guide Houghton staff in preparing born-digital content for safe transfer. The information ascertained from these questions helps facilitate and ensure proper and thorough transfer and processing of born-digital content. Please note that delays in properly processing and capturing the content may result if this information is not gathered and sent to the Digital Archivist. 

Instructions

  • Generate or download the questionnaire in one of the following ways:
  • Name and save the file according to the following convention:
    • BDAcq-[MSNumber]-[YearMonthDate] 
    • Example: BDAppraisal-MSThr2085-20211108
  • When completed, send to the Digital Archivist in any of the following ways:
    • Email link or digital file
    • Share link in OneDrive

General

  1. Please list associated Collection Identifiers here (accession number, manuscript number): 
  2. What born-digital content should be transferred? Please be as specific as possible.
  3. How does this subset of content relate to the overall collection?

Technical Questions

  1. Media Type: What types of born-digital media are there, if any? 
  2. File formats: What types of computer files are there? Examples: Word processing files (.doc, .txt), photographs (.jpeg)
  3. Computing habits: Please describe work and/or computing habits related to the content that should be transferred. For example: drafts are written first by hand then inputted into computer; dance compositions are compiled in InDesign
  4. File Creation: Who created these files? What are their roles in relation to the creation of these materials?

Privacy & Security

  1. Are any of these files encrypted? 
  2. Do any files contain sensitive or legally protected information, such as Social Security Numbers, bank account information, or other sensitive materials or data?

Networked data

  1. Email: Does the born-digital content include email? Please provide email providers, platforms, and associated login information.* 
  2. Social Media: If the born-digital subset includes social media, please describe any social media use, including handles, usernames, social media platforms, and associated login information.* 

Cloud Storage & Document Sharing 

  1. Does any of the born-digital content exist on cloud storage? Are they publicly or privately available? Please list the cloud storage/document sharing sites and associated login information, if necessary.*
  2. Does any of the born-digital content exist on photograph, video, or other media sharing sites (i.e. YouTube, Flickr, Vimeo, etc.)? Please list them with associated login information.*

Please note that login information should be sent via encrypted email to the Digital Archivist. Please include collection identifiers.
