Checking Aeon

On days when the Keeper is scheduled to work, it is their responsibility to check Aeon. On other days, Houghton Library staff do so.

Aeon requests for materials in the general collection

Materials in the general collection are not requested through Aeon. Nevertheless, patrons occasionally fill out the HOLLIS Special Request form manually for general collection items. Refer these to Access Services by transaction number; they will respond to the patron and cancel the Aeon request. 

Creating a new Aeon request for the Music Library account

  1. In the Dashboard Search Users group, search for Music Library.
  2. Navigate to the Home ribbon and click on the New Request for User button in the Requests group.
  3. On the Request form, click the Catalog Search tab and search for the item.
  4. On the Catalog Search ribbon, click the Import button.
  5. Click on Save Changes in the Next Step group.
  6. Click on the Print Callslip button.
  7. Click on Print in the print dialog box

Aeon activities

Classes, exhibitions, tours: these are all Aeon activities. Aeon funnels to RTL Core Data, so when you log your activity, you can report attendance numbers right in the application rather than toggling back and forth between Aeon and RTL Core Data. Please don't report the same thing in both places as this would be redundant.

HOLLIS-Aeon compatability issues

Issues with HOLLIS-Aeon compatability, for example unwarranted error messages, should be reported to HUIT.

Administrative users of Aeon

Harvard Library has integrated payment for photoduplication orders by credit card with Aeon. In order for the Library to take advantage of this Aeon feature, Atlas, the Library, and Harvard finance offices have been working towards ensuring that Aeon at Harvard can meet the necessary Payment Card Industry (PCI) data security standards. 

One of the university requirements to meet this standard is that access to Aeon administrative functions be limited to key staff with a business reason to have access. While we do not need to limit staff access to the Aeon client, we do need to limit staff access to the Aeon Customization Manager and the Aeon Staff Manager to a small set of administrative users. 

Christina is the Library Liaison for creating staff Aeon accounts. Josh is the Approver.

Creating new staff client accounts in Aeon

If we need a new Aeon account for a staff member, Christina will contact LTS using the instructions on the LTS wiki. Essentially, the workflow is, fill out the account request form, sign it, and have Josh sign it. 

LTS staff will also be responsible for resetting passwords for staff who have forgotten their staff client passwords and will be responsible for making any changes to client account permissions.  Instructions for requesting these changes can also be found on the wiki.  Turnaround time for password resets will be up to 1 business day and turnaround time for new accounts will be up to 5 business days.

After requesting a new Aeon account, immediately initiate permissions so that the staff member may map their T: drive (see below). 

Staff requests in Aeon

Staff placing requests for personal research should use their personal Aeon accounts.

Staff placing requests for library business should use the Loeb Music Library account. In the ribbon at the top of the client, type Loeb Music Library into the Name field. Double-click anywhere in the blue-highlighted information field, then click on New Request. Select New Request for User from the drop-down menu. Use Catalog Search to locate and import the record, then save it. After saving, click on Request For in the Request Information pane, then click the Research button, then choose the appropriate staff member's name from the drop-down menu. Save your request again. When you print your request, the staff member's name will appear on the slip below Loeb Music Library. 

Terminating staff client accounts in Aeon

When staff members depart, please terminate their Aeon accounts and remove them as Researchers and Proxies from the Loeb Music Library account. 

Mapping the T: drive

New staff using Aeon will also have to have their T: drives mapped. Submit a request to central HUIT. Requests for access should come from the Aeon login liaison or approver for the repository/group. Access to the HUL drives is restricted, so Harvard Library will also need to give permission. 

Send the email to ithelp@harvard.edu and cc libraryoffice@harvard.edu. Include in the email that you are requesting that a staff member be added to the HUL-AeonALL-RW permissions group. Include the staff member’s name and central account ID (that can be found on https://connections.harvard.edu/ as part of the staff directory record). Once you receive confirmation that the staff member has been added to the permissions group, they can follow the mapping instructions below.

Aeon paper

We use perforated paper to print Aeon requests: half goes in the item being taken from the shelf, the other half stays on the shelf. It is ordered from gotoforms.com, where it is #4339 (laser paper perforated, 8 1/2 x 11, center vertical perf).
