Isham and audiovisual special collections materials
Most of the collections for which Isham is responsible are paper-based. The Keeper does not respond to patron requests. The information below is retained because it may be of assistance to those staff members, but those monitoring Isham's Aeon requests no longer have involvement in these requests beyond referral.
An important exception is audiovisual special collections material contained within Isham's archival collections. For guidance on these, particularly the Stephen Lee "Lucky" Mosko collection (Ms. Coll. 140), see below.
If a request arrives via another channel, please ask the patron to click on View in Library in the HOLLIS record to initiate an Aeon request.
Patron request for on-site item, on-site use
- Examine the request for missing metadata. If the HOLLIS record needs to be re-imported, be sure to save any relevant patron-supplied information in a text document so that it can be re-entered and not lost.
- Contact the patron to ask whether they would like to examine the item for its physical characteristics (for example liner notes) or whether they need playback. If liner notes, proceed to step 3. If playback, refer the request to Access Services.
- Route the request to In Item Retrieval.
- Print the Aeon slip.
- Page the item.
- Place the item on hold in the Merritt Room, noting the hold location in the Aeon request.
- Contact the patron via email to inform them that the item is available for them to use.
Patron request for off-site item, on-site use
- Examine the Aeon request for missing metadata. If the Aeon record needs to be re-imported, be sure to save any relevant patron-supplied information in a text document so that it can be re-entered and not lost.
- Contact the patron to ask whether they would like to examine the item for its physical characteristics (for example liner notes) or whether they need playback. If liner notes, proceed to step 3. If playback, check that the media content is not already available (for example, it might already be on Smithsonian Global Sound for Libraries database, Naxos Music Library, YouTube or Spotify; also check the Alma holdings to see whether the item has been previously digitized and the list below for known streaming holdings held elsewhere). If you discover no previously digitized copy, ask the Recordings Librarian to check as well. If you do find a link, share it with the patron. If you do not, refer the request to Access Services for reformatting.
- Route the request to Awaiting HD Delivery and follow the usual workflow for requesting an item from offsite storage.
- When the item arrives, place it on hold in the Merritt Room, noting the hold location in the Aeon request.
- Contact the patron via email to inform them that the item is available for them to use. Patrons may only use special collections materials under staff supervision, in the Isham suite.

Digitizing media in the Stephen Lee "Lucky" Mosko collection (Ms. Coll. 140)
All of the cassettes and open-reel tapes in this collection have been assigned RECCO call numbers in the spreadsheet "Mosko AV inventory." This information is not in the finding aid.
The workflow for digitizing media in the Mosko collection to meet patron requests is as follows.
- Isham staff member pages item.
- Isham staff member routes items to In Audiopreservation.
- If item is not labelled with RECCO sequencing, Isham staff member sends the item to the Recordings Librarian to be catalogued and numbered, then the Recordings Librarian conveys the item to the Administrative Coordinator for transfer to Media Preservation Services. RECCO call numbers begin with R, C or DAT. If item is labelled with RECCO sequencing, item is conveyed directly to the Administrative Coordinator.
