Set Up NextCloud File Staging Area for a New Library/Repository Unit

Step 1: Determine who the NextCloud business owner will be for this unit.

The business owner will be the primary contact/authority for decisions related to the unit's NextCloud space.

Step 2: Business owner submits a request for a new NextCloud file staging area to the LTS Support Center

Include the following:

  • Library/repository unit name
  • Business owner name and contact information
  • Intended use for NextCloud storage space
  • Do you require a folder for Level 4 Security data? (separate sign-off)
  • 33-digit billing code for storage costs
  • Signed memorandum of understanding and/or review of Harvard University Data Security levels/protocols

Step 3: LTS reviews request, confirms details with business owner, and sets up NextCloud file staging area for the unit

Step 4: User permissioning (needs further refinement)

  • NextCloud Authorization SSO by Grouper group – use HL Staff Directory group?
  • Proposal: Business Owner for each unit file staging area will be granted unit/local admin access in NextCloud and can create user accounts within the unit.
    • BO is responsible for onboarding and offboarding users in NextCloud
    • Option: LTS Support can double check user removal as part of HL/HUIT admin offboarding process
    • Data security compliance – do we need double signoff and LTS oversight/auditing of user permissions, or can we stay out of it?
