About NextCloud
NextCloud is a file staging service, maintained by LTS, that provides temporary cloud-based data storage for:
Interim staging for files and data on the way to a permanent/archival repository like the DRS
Short/medium term projects (up to 6 months)
Harvard Library and LTS are currently offering NetCloud file staging as a free pilot service through 2021 to libraries and library-associated units.
Guidelines for using NextCloud
Data can be stored for up to 6 months
NextCloud meets security requirements for Level 1, Level 2, and Level 3 data. (See security level examples for administrative data and research data.)
NextCloud is not an archival-level data repository – it is a temporary staging area only
NextCloud is not a delivery service – files staged in NextCloud are not available for public/general web access
Automation and scripting to move data from NextCloud to another repository is managed directly by the library unit that owns the NextCloud storage folder.
Request Access to NextCloud temporary file storage for your department/repository
Determine who your NextCloud business owner will be.
The business owner is the primary contact and authority responsible for content/data-related decisions and approving staff access permissions
Submit a request to LTS Support with the following information:
Library/repository unit name
Business owner name and contact information
Brief description of how you plan to use this NextCloud storage space
How much total data storage (Gb/Tb) do you expect to need?
33-digit billing code for storage costs
Signed memorandum of understanding and/or review of Harvard University Data Security levels/protocols
LTS assesses the request and responds with any questions/comments.
Business owner signs Harvard Library NextCloud Use Agreement (to be created) and returns to LTS.
LTS creates the NextCloud new NextCloud storage folder with admin permissions for the business owner.
Request user access permissions for an existing NextCloud storage folder
The business owner / liaison will fill out a login request form for the user and submit it to LTS Support.
LTS Support creates NextCloud user account and notifies business owner.
User accesses Harvard Library NextCloud by HarvardKey login.
