More information on Item Process Types (IPS)

The Aleph Item Process Type migrated to Alma Item Internal Note 3. Most items with an IPS migrated to Alma status "Item not in place." More information on specific item processing statuses is below.

Tip: use the Alma advanced search to find items by former Aleph IPS by searching for the code of the IPS in the Internal Note 3.

Cancelled (CA), Claimed (CL), Not arrived (NA), Order initiated (OI), On order (OR), On order (TD), Ordered-Received (RE).  In Aleph, these item process statuses indicated that these items were still in acquisitions workflows and not available for use.  These items migrated to Alma status "Item not in place," with process type "Acquisition" or "Technical - Migration." For more granular information, see Acquisitions and Serials Data Mapping Guide, section "Item process status: Aleph to Alma."

Harvard Depository status (HD)/RECAP Depository status (RD).  In Aleph, items were coded with an IPS of "HD" or "RD" and a Remote Storage Flag of "HDEP" or "ReCAP" for appropriate terms of use (loan policies), relay of patron requests to HD/ReCAP for processing, and transit loan functionality when items were return to remote storage.  In Alma, this functionality is associated only with the holdings location code (852 $c).  All items that are at remote storage locations need to have an Offisite Storage (HD) or Offsite Storage (RD) location.  HD and RD items migrated to Alma status "Item in place," unless they were out on loan at the time of migration.

Withdrawn/Damaged (WD), Withdrawn/Lost (WL), Withdrawn/Missing (WM), Withdrawn/Superseded (WS), Withdrawn/Transfer (WT), Withdrawn/Weeded (WW).  During the Aleph to Alma migration process, these items were withdrawn from Alma.  These items are available in Alma Analytics. Items with active loans and non-closed/cancel POLs that have IPS withdrawn* will be handled separately.

All Other IPS values:

    • The Aleph IPS value appears in Alma Item Internal Note 3 (you can search for these in advanced search).
    • These items migrated to Alma as status "Item not in place," with process type "Technical - Migration."
    • Once these items have been processed according to their Aleph IPS (e.g. once they have been cataloged, conserved, etc.), staff in those units should Scan in Item and mark as Done. This action will remove the Process Type and place put the item in transit to its permanent location.
