Don't forget to logout of Aeon when you are finished using it, especially when you are on a shared computer.

Working with Users

  • Never enter patron ID numbers, i.e. passport or driver’s license numbers, into Aeon.
  • User records imported from the old Houghton patron database will have a one to five digit id as their username; users imported from the old Countway patron database with have a username that starts MED. In the ID Type field for these patrons, you will see the word imported. If you see that a patron only has an old imported account, make sure that person re-registers. Do not clear or sign those users into a reading room.
  • The barcode on a patron's Harvard ID card or Special Collections Card expresses their Aeon username and can be scanned to pull up the associated uesr records in Aeon. Remember to take the last digit off the HUID after you scan it in (this is a counting digit not recognized by HarvardKey when the patron creates an account). 

Working with Requests

  • Requests always originate in a user account either on the Web or in the client. You must always choose a user first, then create a request.
  • Non-activity requests for staff circulation should be assigned to the library pseudo-patron account. In addition, an individual staff member as proxy should be added to the requests when that staff member will be responsible for the materials until they are returned to the shelf.
  • When working with staff requests, don’t forget to move them from the In Item Retrieval queue once they have been pulled from the shelf. They should always be checked out, or routed to an internal use queue.
  • You will only see transactions with the Library (Site) code for your library. When you create a transaction in the client, the Site code will default to the appropriate code for your library. 

Working with Activities

  • The username for activity requests initiated by staff should be the library pseudo-patron account.
