Background

In order to check items back in ("return items"), and for other functions, Alma requires users to change their "Currently at" circulation location to match the Library ownership of the item being processed. For example: when returning WID items, the operator must select Widener Library - WID Circulation from the location list in the upper-right hand corner of Alma. Due to the nature of shared services and pseudo-libraries, many users must therefore have access to multiple library circulation desks in order to fulfill work functions. The need to switch locations for certain pseudo-libraries has created workflow issues and processing delays in some cases (FAL-RUB; LAM-DOC,POE,MIC) where the libraries/locations in question are actually functionally managed by a different library.

Resolution:

Where possible, to simplify workflows, consolidation projects have been undertaken:

Fine Arts - Rubel consolidation (Fall 2019)

  1. RUB location codes to be moved under FAL (mapped as follows):
    1. GEN to RUBGEN; HDSC to RUBHDSC; HD to RUBHD; RUBLC to RUBLC (same); RUBXC to RUBXC (same); RR to RUBRR; VISCO to RUBVISCO; XCAGE to RUBXCAGE; HDSCP to RUBSDSCP
    2. Locations with 0 items which are not needed will be removed (RUB-DI).
    3. Create RUBRD for future use
  2. Run a report to check for items in deprecated temp locations
  3. Move holdings to new locations: Run a norm rule on the holdings to change the 852 $b and $c


Lamont- Documents/Poetry/Microfilms (Fall 2019)

Location codes to be consolidated under LAM: DOC, POE, MIC. Functionally these materials are already managed by Lamont Library.

  1. Move all locations for pseudo-libraries to LAM ownership:
    1. Map existing DOC/POE/MIC locations to Lamont by appending old owning "library" code to collection code.
    2. Create the following new locations (DONE):
      1. From Poetry: POECASS POECD POECDROM POEDAT POEDISC POEDVD POEGEN POEMEDIA POEREF POESER POETAPEA  POEVID; location which will not be migrated (no items): POEBLUE

      2. From Documents: DOCCODE DOCLC  DOCGEN DOCHD DOCRD DOCREF DOCSCAN 

        1. Need to create an offsite storage RD and HD circ desk for Lamont to accomodate
      3. From Microforms: MICGEN MICHD MICRD MICREF; 
        locations which will not be migrated (no/few items): MICRR CDDOC DOCDI. Any items in these locations will be consolidated into other locations.

        1. Note to Corinna: make sure the MIC holdings all have 007 to indicate MF format
      4. Note: items in ERROR or UNASSIGNED (system default) locations will not be migrated (errors will instead be resolved to put items in correct locations).
      5. Locations exported from Alma on 9/5/19: DOC_locationList_20190905.xlsx MIC_locationList_20190905.xlsx POE_locationList_20190905.xlsx
