Houghton Publication Archive

Historic Practice

A systematic attempt has been made to collect archival copies of all of Houghton’s publications and send them to HD. Each historic publication should now be represented on-site by at least one copy, preferably under the classification *AC9.H2618H [followed by year of publication and first letter of the last name of the author]. One copy of each publication has also been sent to the University Archives. An attempt has been made to send out four archival copies of each title, though some may be represented in larger or smaller numbers. (One past practice was to send twenty copies; with other publications, four copies could not be located, in which case as many as could be found were sent out.) There are archival copies at HD that have been individually wrapped and there are copies that have been boxed with other publications. All copies are marked in some way with the classification number *AC9.H2618H.B[followed by year of publication and first letter of the last name of the author]. The archival holdings are suppressed from public view and are only to be used in consultation with the Associate Director for Collections.

Current Practice

At a minimum, one copy of each Houghton publication will be retained on-site under the classification AC9.H2618H [followed by year of publication and first letter of the last name of the author]. One copy will be sent to the University Archives. (To be collected on an annual basis by Technical Services staff and sent to UA in January).

Four copies will be sent to HD under the classification number AC9.H2618H.B[followed by year of publication and first letter of the last name of the author]. The HD copies have a suppressed holdings record, but do not need to be accessioned. Each copy should be marked with its call number and copy number. Cataloging of all copies should be completed as close as possible to the publication date. The four archival copies' 852 is constructed as follows (variable data in red):

Copies will be collected in a Paige box until it is full. An attempt should be made to keep the publications in as chronological an order as possible.

It is the responsibility of the person who created the publication to see that six archival copies (1 for on-site, 1 for the UA, four for HD) at a minimum are delivered in a timely manner to Technical Services.

Ephemeral Publications

We will keep five copies of ephemeral publications (invitations, announcements, etc.). These will be kept on-site in numbered boxes in general chronological order under the classification number *AC9.H2618H.ZZx in the AC folio section. Departments are responsible for delivering such publications to Technical Services for depositing in those boxes. As boxes are filled, new ones will be created. One copy also needs sending to the UA (to be collected with the other publications and sent there annually).

Posters

Posters will be kept in two copies on-site only and kept in portfolio boxes. The classification for these is p*AB9.H2618H.N950. One copy also needs sending to the UA (to be collected with the other publications and sent there annually).

Harvard Library Bulletin

The archive will include the HLB, including special issues (special issues will also be added to the stacks under the Houghton class, regular issues are kept only in the Reading Room, the Editor’s office, and the Librarian’s office). The Editor will send copies to the University Archives.

Harvard Review

The archive will include the Harvard Review (as will the stacks under the Houghton class). The Editor will send copies to the University Archives.
