Subject: New Aleph collection code ERES

Dear Colleagues,

To prepare for Alma migration, we need to separate our "remote" online holdings (i.e. hosted by vendors) from our locally digitized holdings. We will distinguish these holdings using a new collection code.

For many e-resources available Harvard-wide, our current practice is to code holdings records using the GEN collection code when a more specific collection code is not applicable, as follows:

852 |b NET |c GEN

LTS and the Alma implementation groups have chosen ERES as the new collection code for these holdings:

852 |b NET |c ERES

There will be a batch change to existing, qualifying NET GEN e-resources on DATE. After DATE, ITS/LTS will make minor changes to Aleph tables, record loaders, macros, and Aleph templates to support the change. Local units may also need to update some macros, templates, COGNOS reports, etc. After DATE we will monitor activity of NET GEN holdings to ensure the code is used as intended going forward.

Practice does NOT change for locally digitized holdings – please continue to code Harvard digitized materials as usual. Also, 852 |c values will NOT change for a large number of e-resources with specifically defined collection codes (MARCit! holdings; DBASE records; vendor-specific e-book loads, etc.)

Aleph collection code NET ERES

A new practice for identifying many e-resources available Harvard-wide is being implemented on DATE. This will allow us to separate our "remote" online holdings (i.e. hosted by vendors) from our locally digitized holdings in anticipation of Alma migration. 

In order to distinguish these holdings, the Aleph NET holding should include the collection code ERES, instead of GEN: 

852 |b NET |c ERES

Qualifying e-resources:

  1. are available online
  2. are available to all of Harvard (i.e. not licensed for a single school, or a limited number of schools or units)
  3. are not digitized by and hosted at Harvard 
  4. do not have a more specific collection code (e.g. MRCIT or DBASE)

  • No labels
