Digital Media Label Creation
- Enter the Item Numbers into the Born-Digital Media Log.
- Download and export the log as an Excel spreadsheet.
- Open a Microsoft Word document.
- Go to Mailings.
- Go to Start Mail Merge, then click labels.
- Next select the label vendor as Avery US Letter, then choose Avery 6467 Removable ID labels.
- Click Select Recipients and select Use an Existing List….
- Choose to upload the media log Excel spreadsheet that you have previously downloaded and updated.
- Once open select the correct table/sheet. The media log has three sheets, choose the AccessionsLog$ sheet. And click ok.
- Go to Insert Merge Fields. From the dropdown list, choose <<Item Number>>, keeping the font and size the same but make the type bold.
- Underneath the <<Item Number>> add <<Label Field>> keeping the font and size the same.
- At this stage you may have to play around with the margins and/or line and paragraph spacing section.
- Hit Update Labels. Then click on Preview Results to see if your labels are correct.
- If your labels are correct then click Finish & Merge and select Print Document.
- Under Merge for Printer select Current Record.
Alternate method using Microsoft Access
- With the Born-Digital Media Log open, navigate to H:\HOUGHTON\Technical Services\MS Section\MS documentation.
- Open the document named "HOU.labels.other". It should open in Access.
- Note in the left panel under "Tables" the item labeled "Digital media: paste into Shelf-number column".
- In the Media Log, copy the entire column labeled Item Number that contains the label content.
- In Access open the table labeled "Digital media: paste into Shelf-number column"; paste the column from the Media Log into the Shelf-number column.
- In Access under "Reports", open the report labeled "Digital media label". This should now display the data you just pasted.
- (If using the shared Ricoh printer: place a stack of 7-10 label sheets face-down in the side manual feed tray.)
- With the Digital media label report open, go to File > Print. Select the middle option simply labeled "Print" (not quick print, not print preview).
- In Printer Name, select the correct one from the drop down list ("Ricoh" for the shared printer in TS).
- Then select Properties: for Input Tray, select "Bypass Tray". Also select "1 sided" under One Click Preset List. Click OK.
- Select Print Range and enter "Pages from 1 to 1".
