Email Instructions
Responding to the messages in the Imaging Services email account is an important part of our customer service. Try to answer all messages within a day.
- Work from oldest to newest
- Try to respond and/or deal with as many as possible on the first look.
- Give priority to email from Harvard staff & faculty.
- Use email templates for many stock responses, and consider adding some to your "Quick Parts" menu in Outlook (Insert Tab\Quick Parts).
- Templates for many stock responses are kept in the “Patron_Services” folder on the GROUPS drive.
- Use these for routine re-directs to Aeon, Bank Transfer info, thesis/microfilm soft estimates, and more.
- Apply your name label in “Categories” column to show that you have “taken control” of specific emails.
- When response has been given, move to current year's folder.
- Keep only unanswered messages in the inbox.
- Delete spam
