Email Instructions

Responding to the messages in the Imaging Services email account is an important part of our customer service. Try to answer all messages within a day.

  1. Work from oldest to newest
  2. Try to respond and/or deal with as many as possible on the first look.
  3. Give priority to email from Harvard staff & faculty.
  4. Use email templates for many stock responses, and consider adding some to your "Quick Parts" menu in Outlook (Insert Tab\Quick Parts).
    1. Templates for many stock responses are kept in the “Patron_Services” folder on the GROUPS drive.
    2. Use these for routine re-directs to Aeon, Bank Transfer info, thesis/microfilm soft estimates, and more.
  5. Apply your name label in “Categories” column to show that you have “taken control” of specific emails.
  6. When response has been given, move to current year's folder.
  7. Keep only unanswered messages in the inbox.
  8. Delete spam
