Who is eligible for WordPress access?
WordPress users must have HarvardKey credentials. This includes individuals whose primary affiliation is with a hospital or with another Harvard school.
Resource emails and shared accounts are not eligible for user access. Only individual people can be designated as WordPress users.
How to request WordPress access
Only entity content owners may request that IT create new users for their entity.
Use this form to request access for new users.
- Please be sure to select the correct entity on the form (e.g. choose your faculty lab rather than the academic department the lab is affiliated with).
- When filling out the form, please use the email address that the individual uses to log in to HarvardKey.
Note: If this user already has access to a different entity in WordPress, then they will not receive an automatic email notifying them about access to additional entities. Users should log in and see the new entity in their entity list within 48 hours.
User types
Entity content owners
- A content owner is the person primarily responsible for the content for a specific entity. This person is responsible for:
- Taking all required web trainings
- Approving all content created by content editors
- Making requests for new users for your entity
- Assisting IT and Communications in answering any questions about your entity’s web content
- Ensuring that all web content policies are followed on your entity’s web pages
- We recommend that the “owner” should be the person assigned to manage the website on a day-to-day basis, not the person who is most senior on your team.
- You may designate more than one owner for your entity.
Entity content editors
- A content editor is a person who makes regular contributions to an entity’s web pages. This person is responsible for:
- Taking all required web trainings
- Submitting their content for approval by content owners
- The content editor role is most appropriate for someone who needs to make regular edits to site content, but does not have overall responsibility for the entity’s web pages.
Entity content viewers
- A content viewer cannot create, edit, or publish content, but they can view draft content in progress.
- This role is most appropriate for team leaders who wish to see final content before it is published to the live site, but do not plan to take WordPress training.
Finding your entity’s homepage(s)
Note: Some terms used in these instructions may be new to you. It can be useful to open the documentation link below and review the WordPress Basics section before proceeding.
Each editor has been assigned to their entities on the back end. This means while you can see all types of posts and content in lefthand menu of the site, clicking into a post type will only show those entities relevant to you.
(Screenshot from a user who only has editing permissions for these two RCILs).
If you are the owner or editor of a Program, clicking on “Programs” in the lefthand menu will show the Program relevant to you in the listing.
When hovering over the list item for your entity, you can either edit or view the entity.
(Hover view on an entity. “Quick Edit” and “Trash” options may not be available for some users).
