Site and content visibility settings
By default, content on the intranet is hidden from the public and accessible to HarvardKey holders only.
Introduction
You can use the Intranet visibility settings to restrict the visibility of your site’s content to specific groups at Harvard and SPH.
Your site’s visibility settings can be found on the Intranet Site Settings page. You can find that page in the WordPress admin here: Settings > Intranet Site Settings
Visibility settings configured on the Intranet Site Settings page apply to your whole site.
Who Can View Your Site
The first setting you’ll see on the Intranet Site Settings page is Who Can View Your Site? Below are the available options, from most permissive to least permissive.
Public
Anyone on the internet can view your site.
Please consider carefully before making content public.
Harvard Affiliates
Anyone with a Harvard affiliation can view your site. If you select this option, you can specify which roles to allow: Harvard Staff, Harvard Faculty, Harvard Students, Harvard Sponsored Roles.
SPH Affiliates
Anyone with an SPH affiliation can view your site. If you select this option, you can specify which roles to allow:
Group | Technical definition |
---|---|
SPH Staff | SPH Staff, SPH Graduate Student Employees, SPH Postdoctoral, SPH Temporary Employees, SPH Interns and Apprentices |
SPH Faculty | SPH Faculty, SPH Temporary Academic |
SPH Students | SPH Students and Class Participants, GSAS PhD Students affiliated with SPH, SPH - All Students with Deferred Admission |
SPH Sponsored Roles | SPH Sponsored Roles |
Site Authorization Group
Anyone in your Site Authorization Group can view your site. At the bottom of the Intranet Site Settings page, you can configure your site’s Site Authorization Group. You can choose the SPH departments and roles within those departments that can view your site. For example, you could configure your site to only be viewable by faculty in the Biostatistics department. By default, your site’s Site Authorization Group is configured to allow anyone affiliated with SPH to view your site. If Allow Site Visibility to be Overridden by Content is enabled, you can also configure individual pieces of content to be visible only by your Site Authorization Group.
Allow Site Visibility to be Overridden by Content
Beneath the Who can View Your Site setting you’ll see a setting named Allow Site Visibility to be Overridden by Content. If you enable this setting, an additional setting will become visible on the content edit screen named Override site visibility. Setting Override site visibility will reveal the same options explained above in the Who Can View Your Site section, except they will only apply to that content.
Enabling Allow Site Visibility to be Overridden by Content will override the site visibility settings for that post.
