What is Emma used for at Harvard Chan School? 

Emma is an email marketing tool that allows organizations to send mass emails, manage email lists, and gain insight into email open and click rates. IT and the Office of Communications have selected Emma as a preferred email marketing tool for Harvard Chan School. The advantages of using Harvard Chan School's implementation of Emma over other similar tools are as follows:

  • School-branded templates provided for your use
  • School-specific training and best practices to ensure that your emails are compliant with brand, style, and accessibility guidance from the School
  • Costs for most groups are covered under a central contract
  • Access to synched School-wide staff, faculty, and student lists for authorized offices

Offices are assigned subaccounts within Emma. IT sets up these subaccounts and the Office of Communications provides all subaccounts with base templates for emails. Offices are responsible for managing their own email lists, as well as composing and sending their emails using the templates. 

Emma should be used for:

  • Mass emails
  • Email newsletters
  • Event announcements
  • Letters or announcements from leadership 

Emma should not be used for:

  • One-on-one correspondence
  • Small group correspondence
  • Sending confidential information
  • Soliciting research subjects for studies

How can your group get added to Emma? 

IT and Communications are working together to provide Emma as a tool for Harvard Chan School offices.  

If your team is interested in using Emma, please fill out the following Qualtrics form with the following information: 

  • What is the nature of your email content? 
  • Who is your audience? 
  • What is the size of your email list? 
  • How frequently do you send your emails? 
  • Where does your email list data come from, and what is your process for adding new people? 
  • Who is responsible for composing, reviewing, and sending your emails? 
  • Do you have any special integrations in your emails that we need to know about?
