Addenda

Overview

Addenda may be processed separately as its own collection (e.g., Woman's National Farm and Garden Association (MC 594); Hildegard Peplau; Betty Friedan, Rutland Corner House) or combined with a previously-processed collection.

In order to reduce the need for researchers to view several finding aids to conduct research in a single entity’s papers or records, we try to incorporate smaller groups of addenda into previously existing finding aids as a matter of course.  In these instances addenda will be refoldered and labeled with the existing MC #s, and will be housed in boxes that continue the box numbering schema already determined. In some circumstances, listing new folders intellectually within the finding aid is warranted. In others, adding a new series that lists addenda separately is a better option.

If working with addenda combined with an existing container list (with an accession #), it is preferable to combine and give the new combined group of material an MC#. One of the issues to take into consideration in this case is whether the photographs in the original container list have been cataloged (using the accession number) and would therefore have to be renumbered. If this is the case, discuss with Joanne before determining which course of action to take. Another consideration (Public Services should be consulted) is where the addenda is shelved vis a vis the original part of the collection.

If adding material to or otherwise updating a finding aid with a significant amount of links to digitized material (including A/V finding aids), please be aware that there are ArchiveSpace-related issues (regarding difficulty deleting existing digital objects) that may impact how you add materials to an existing finding aid. Discuss options in advance with Kelcy and Johanna Carll.

Treatment of addenda should be decided on a case-by-case basis in consultation with Kelcy.

Examples below describe a few of the possibilities in more detail:

New "additional" collection | Integrated into existing MC# | Combined with existing container lists to create new MC# | Integrated into "old" MC # (with only folder numbers in old finding aid, not box and folder numbers)

Use the new addenda processing plan template to organize your thoughts.
