Mixed Format Orders

Occasionally a patron will request both bound and loose material to be duplicated. In the past, one machine could accommodate both kinds of material. Currently this is not possible; the reference scanning devices at the lab can either handle one type or the other, not both. Below are some scenarios that you might encounter and their solutions.

When labeling material use the following shorthand to designate whether an object should be scanned as a bound object, B01,or a loose object, L01. This is not necessary for every order, only label material it is not clear or when noted below. 

Mixed Format Order/Different Objects

Material that have different call numbers or different item numbers can be scanned at different machines without any problem. The staff at the lab will automatically route material to the appropriate scanner. Label the items with B01 or L01 as appropriate.

Multiple Folders Same Object

If an object is spread among multiple folders and contains both bound and loose material, it may possible to scan each format separately. In this instance, the type of material must be the same throughout each folder; if there are mixed formats within the same folder, the following instructions will not apply. In order for the lab to appropriately route the material, label each folder with B01 or L01. In addition, when writing the order, please select complex as the METS format for the metadata, as separate nodes for each folder will be necessary. 

Single Folder Same Object

If there are both bound and loose material in the same folder, it will have to be scanned at the same workstation. In most cases, this will be a loose workstation. Label the material with L01 so it is clear to the camera operator that everything in the folder should be scanned as loose material.

If it is not possible to scan the bound item at the loose workstation, then it will have to be removed from the folder and scanned in a separate transaction. Consult with the Metadata Assistant about metadata. 

Bound Material with Multiple Double Spreads

Generally bound material is scanned as one opening and then automatically split into two pages; however, some printed material may have plates that span both pages. If the number of plates equals a 1/4 of the book or less, they may be scanned at the lab. If the number of plates exceeds a 1/4 of the book, consult with the Reproductions Coordinator about the options for digitizing.
