ArchivesSpace 3.5.1 Update Notes
New HarvardKey Integration
As part of a university-wide initiative to strengthen HarvardKey, systems can no longer use the older CAS access protocol. ArchivesSpace was using a custom plugin to provide CAS support. As part of this upgrade, LTS implemented a LYRASIS-maintained plugin that supports both CAS and Okta, with plans to change protocols at a future date.
The new plugin provides two options for logging out of ArchivesSpace: Logout and CAS Logout:
Logout will end your ArchivesSpace session only. Signing back into ArchivesSpace will automatically log you back in.
CAS Logout will end your both your HarvardKey and ArchivesSpace sessions. Note that this will not end open HarvardKey sessions with other applications.
Using CAS Logout is strongly recommended, especially if you are using a shared computer.
New Usernames
As part of the broader HarvardKey initiative, your username in ArchivesSpace will be changed to your email address. This change will not impact your ability to log into ArchivesSpace, and existing Created/Changed By timestamps will reflect your new username.
Changes to Digital Objects and Imports
ArchivesSpace 3.5.1 added new features around the Representative flag for File Versions of Digital Objects. Previously, the flag had no effect on the application; it now toggles how digital images render in the default ArchivesSpace PUI.
Since Harvard uses a customized PUI, the Representative flag continues to be inoperative. This will remain true after we migrate HOLLIS for Archival Discovery to ArcLight. Setting thumbnails as Representative and non-thumbnail images as Non Representative is still recommended.
Due to the changes in the Representative feature, the structure of the digital object import spreadsheet changed. If you import using the old template, the File Versions will not appear in ArchivesSpace.
New templates are available as:
The field mappings from the old template to the new one are as follows:
Old Field | New Field |
---|---|
publish | digital_object_publish |
digital_object_link | nonrep_file_uri |
digital_object_link_publish | nonrep_publish |
thumbnail | rep_file_uri |
thumbnail_publish | N/A (thumbnails auto-publish) |
In addition, the XLink attributes for File Versions will no longer automatically populate on import. The new import template includes new fields for each field in the File Version record. The new fields, with recommended values, are as follows. Fields without a recommended value can be used as needed.
