ETD Holdings for Alma
There are two types of holding records that are required for ProQuest ETDs.
ETDs that are submitted through the ProQuest ETD Admin tool may or may not have copies deposited into DASH. The DASH status of an ETD determines how both of its holding records will be created. The majority of ETDs are deposited into DASH. Only two categories of ETDs are not deposited into DASH: those from DCE Creative Writing and those from SEAS that have opted out of DASH.
The first holding record: Alma record creation
When bibliographic records for ProQuest ETDs are created and added to Alma, each bib record also needs to have a holding record of some kind.
- ETDs deposited into DASH have a NET holding with a URN that points to the entry in DASH.
- For the two cases in which an ETD is not deposited into DASH (DCE Creative Writing and SEAS opt-outs) a NET OFFLINE holding [instructions linked below) is created on initial Alma record creation.
School / Program | Oversight | DASH? | Holding guidance |
DCE → Creative Writing | HUA | No | Library holding. See ETD loads into Alma - bib and holdings creation for delivery and DRS copies |
DCE | HUA | Yes | NET holding with a URN pointing to the DASH entry |
GSAS | HUA | Yes | NET holding with a URN pointing to the DASH entry |
GSD | GSD | Yes | NET holding with a URN pointing to the DASH entry |
GSE | HUA | Yes | NET holding with a URN pointing to the DASH entry |
HBS (through May 2021) | HBS | Yes | NET holding with a URN pointing to the DASH entry |
HDS | HUA | Yes | NET holding with a URN pointing to the DASH entry |
HMS | HMS | Yes | NET holding with a URN pointing to the DASH entry |
HSDM | HMS | Yes | NET holding with a URN pointing to the DASH entry |
HSPH | HMS | Yes | NET holding with a URN pointing to the DASH entry |
SEAS (authors who opt into DASH) | HUA | Yes | NET holding with a URN pointing to the DASH entry |
SEAS (authors who opt out of DASH) | HUA | No | Library holding. See ETD loads into Alma - bib and holdings creation for delivery and DRS copies |
The second holding record: after DRS deposit
After ETD records are added to Alma, the ETD files are deposited into DRS. The DRS object information is added as a second holding to the appropriate Alma record. This holding provides a way to find the ETD in DRS. See ETD loads into Alma for post-DRS MARCXML template information.
- For ETDs in DASH, the DRS information is added as a suppressed holding visible only to staff; this is referred to as a “Dark holding.”
- ETDs that are not deposited into DASH have a publicly-viewable holding to provide patrons with information on how to potentially access the ETD itself; these unsuppressed holdings are referred to as “Brightened holdings” or “Offline Digital holdings.”
