Before meeting with Jen and Pablo (draft)

Here are a few things to think about before/during meeting Jen and Pablo and looking at your files:

  • Are there conditions of use for the collections?  What does the deed of gift say about publishing the files?  If it says nothing, we will need to talk to Kathy or Kenvi about whether they will permit us to provide access to the files.  If we don't have any statement about providing access to the files and we can't get permission to do so, the files will be looked at only in the reading room for now.
  • Is the organization of the digital files important to the user?  Perhaps there is an artist or something about the way the donor or creator used digital materials that makes the organization important.  
  • Will you need to search for documents from a certain group, person, book project or related to a certain place?  Please think about if you will need to search for specific terms or words.  Do you think there might be private information in here?  (maybe you spoke with the donor or Kathy and know something about this.   Sometimes documents from certain projects are spread across different media/disks so don't necessarily depend on the disks being organized in any way.
  • Could we just export all the documents, run scans for PII and put them up in a group?  If there are no restrictions and the files are well organized, this might be possible. 
  • How are the documents organized in the paper collection (if this is a hybrid collection where the paper has already been organized.
