Introduction to a Typical Alma Page

A typical screen or page in Alma consists of several elements:

  • Alma menu bar, with menu choices, location information, and other options
  • Persistent search bar (read more about search or watch the Alma Overview Searching module)
  • Page header, with the title of the page, any page-wide option buttons, and the left-facing arrow to go back to a page
  • Summary header, with a summary of information about that page or record
    • Click the i icon on the right to display the creation and last-updated information for this record, including who last updated it
  • Subdivisions of the page/record:
    • Tabs are on record pages and identify what information is held where in the record
    • List pages will have search-within boxes, sorting or filtering options, and table headers to manage the table of results or records (see the Ex Libris documentation on working with lists and tables for details)
  • The page content, possibly in multiple sections or a table of information or results

Common Alma Tabs

Many pages in Alma contain tabs with similar functionality.

Assigned to Me, Unassigned, Assigned to Others Tabs

Several pages in Alma contain tasks that may be assigned to you or others. Tasks are items or requests that are waiting for attention from an operator. Pages with tasks are divided into three tabs, as follows.

  • Assigned to Me: These items are assigned to you. This tab provides the most options, typically including the option to unassign the item or assign the item to another operator.
  • Unassigned: These items are not assigned to any operator. You may be able to perform most actions on this page, but not as many as you can perform on the Assigned to Me tab. If you have the relevant permissions, this tab also allows you to unassign the item or assign the item to yourself or to another operator.
  • Assigned to Others: These items are assigned to another operator. This tab provides the fewest actions to perform. If you have the relevant permissions, this tab allows you to unassign the item or assign the item to yourself or to another operator.

When you select to change the assignment, a dialog box appears. You can enter the target operator and an optional note, and whether to send the operator an email about the assignment.

Notes, History, Attachments Tabs

Record pages have a few tabs in common, regardless of record type or format (physical or electronic):

  • The Notes tab enables you to view, add, or remove notes that are relevant to the page
  • The Attachments tab enables you to view, attach, and remove attachments relevant to the page (maximum attachment size is 25 MB)
  • The History tab displays the history of changes to the fields on the page, including new, deleted, or updated information in the record

Continuous, One-Time Tabs

In Alma, orders for materials (both physical and electronic) can be of two types: One-time orders and Continuous orders. On a few pages - including the Receiving list page - you'll see these two tabs to quickly separate the different types of orders.
