This section describes common actions that can be performed on the Brief Display results list.

Displaying the Full Item

To view the full display of a message or attachment, click on the EASi ID for that item and the full display will open in a separate browser window or tab.

Filtering Results by Item Type

The Item Type drop-down list controls the types of items that appear in the results list. Defined values include:

  • All (default): results will include messages and attachments.
  • Email: results will include only messages.
  • File: results will include only attachments

The "All" value is appropriate when you want to view or act on messages and attachments together (as when modifying the metadata in a group of selected items). Switching to the "Email" or File" view is a quick way to focus on just the messages or attachments in your current result set.

Tip: Since Item Type is actually a filter, when you change the value, a new filter is applied to your results. When this happens, any current record selections will be lost.

How do you identify item types in the results list?

You can quickly identify messages and attachments by the icon in the Type column. An orange envelope indicates an email message and a blue page indicates an attachment.


Sorting Results 

Default sort order of results. 

 By default, results retrieved by a search or filter are sorted by EASi ID and include both messages and associated attachments listed together. These two features are the result of how ingested email is processed – messages and their attachments are assigned contiguous EASi IDs during conversion and attachments are indexed with message content so that they can be retrieved when you search or filter on message content.

Tip: If you search or filter on metadata that is not shared by both a message and its attachment, results will not include both items. For example, filtering by attachment title will retrieve just attachments. Or, searching for a tag assigned only to a message will not retrieve its attachment.

Custom sorting of results. 

 You can re-sort the results list by another metadata value by clicking the corresponding column header. To switch from ascending to descending sort order, click the column header again. The column with the active sort is a darker shade of gray and contains either an upward or downward arrow, depending on direction of the sort.

If the value you want to sort on is not displaying, use the column drop-down to expose that column.

Your chosen sort order should remain in effect until you change it or your EASi session ends.

Tip: If your list of column types is missing the vertical scroll bar, click and drag to resize any column in the list, then try the column list again. 

If you can open the column list but mousing over closes it, remember to mouse straight down first, over the checkboxes, rather than diagonally to the right, towards the list's vertical scroll bar.

Adding, Removing, Resizing Columns

Add/remove columns. To add or remove a column in the results list, mouse over any column heading, click the down arrow that displays, and check or un-check columns. Note that you cannot customize the insertion point when adding a column. Columns will be added in a pre-determined order.

Resizing columns. You can resize results list columns dynamically as needed. Mouse across the border between column headings. When you see the resize mouse cursor (), click and drag column borders to resize. You can also resize height of the results list by dragging the bottom border.

Selecting Records for Bulk Operations

To perform a bulk operation (e.g. edit metadata, delete content, push to DRS) from the results list, you need to select eligible items. To do this, click the check box in the "Select" column or click anywhere in an item's row. (Anywhere except on the EASi ID that is -- clicking the ID will open the full display for an item in a separate browser window or tab.)

Auto-select all items on current page. To select all items on the current page of results, click the check box above the "Select" column. (Or, click the down arrow and select "All".) All items on the page will be highlighted and selected. EASi will display a message above the list that confirms the number of items selected.

Note that the following actions will clear an all-page auto-selection:

  • Navigating away from the current page.
  • Re-sorting results list.
  • Changing results per page.
  • Using the Item Type filter.
  • Adding or removing a filter.
  • Performing a new search.

Auto-select all items on current result list. To select all items in the current results list, click the check box above the "Select" column. Then, click the "Select all xxx search results" link inside the message box above the list. All items on all pages of results will be selected at this point.

Note that the following actions will clear an all-results auto-selection:

  • Using the Item Type filter.
  • Adding or removing a filter.
  • Performing a new search.
  • Deselecting one or more individual items.

Deselecting items. If you are in an "auto select" mode, you can deselect all items by unchecking the check box above the "Select" columns. Or, click the down arrow above the "Select" column and select "None".
