11. Pushing Email Content to DRS2
This section describes the procedure for pushing email content to DRS2 for permanent storage. Pushing content to DRS2 is a one-way operation that cannot be reversed. Email content pushed to DRS2 is no longer available in EAS.
You can perform a Push to DRS from the full display of an email message or attachment, or you can push a set of email content selected from search results (the Brief Display). Pushing an email message will also push any associated attachments. Pushing an attachment will also push the associated email message (if there is one).
Required metadata. To be eligible for a Push to DRS, email content must include:
- Packet name.
- Depositor email from LDAP (or will default to EAS account email).
- DRS access flag.
- Creator client.
- DRS2 billing code.
Since these fields are also required at the initial import to EAS, you can be confident they are present, but you should verify the values are acceptable before pushing content to DRS2.
Below is the procedure for pushing a set of email content from the Brief Display. It is also possible to perform a push to DRS from the display of an individual message or attachment.
To push a set of email content to DRS2:
- Perform a search or filter that produces a result that includes items you want to push to DRS2.
- From the EAS Brief Display, select all items or a subset of items. See "Selecting Records for Bulk Operations" for more information.
- Click the Push to DRS link that displays above results. In the pop-up window, click the Push to DRS button to confirm and initiate the push.
Once a push is initiated, the EAS Prearchiver utility builds one or more DRS batches and deposits them to a secure DRS dropbox. The Prearchiver checks for newly pushed content every five minutes (at :02, :07, :12, :17, :22, :27, :32, :37, :42, :47, :52, :57 minutes past the hour). Pushed email content can take anywhere from a few minutes to an hour or more to deposit depending on the amount of content that was pushed.
A standard DRS success (or failure) report will be sent to the EAS user who performed the deposit. You can use the batch ID or batch name in the report to find batch and its objects in Web Admin.
Back in EAS, the pushed email content will no longer be available. Also note that the original packet files as received from the donor will be retained in the EAS file system indefinitely.
