Aeon ArchivesSpace Container Lookup Addon

The ArchivesSpace Container Lookup Addon allows staff using the Aeon client to look up top containers in ArchivesSpace by collection and import citation and top container information directly  into an Aeon request record. It can only be accessed through an open request window in the Aeon client.

This addon was created by the Harvard Library and is not supported by Atlas Systems. More information is available on the Library's Github repository.

Known Issue: The title search does not work if the Resource title includes an &.

Activating the Addon

In the Aeon dashboard, navigate to the Manage ribbon and click on the Addons button.

Highlight the ArchivesSpace Containers addon in the Manage Addons window. Fill in the APIUsername and APIPassword values for your repository and toggle the Active option on the left to Yes. Then click the Save Settings button.

Note: Each repository has its own set of settings for this addon. You may need to contact your local Aeon expert to get the appropriate settings values for your repository.

Accessing the Addon

To access the search addon, navigate to the ArchivesSpace Containers tab in any open request record.

Searching in the Addon

Creating a New Request

From the record for the user for whom you want to create a request, click on the New Request for User icon. In the new request record, navigate to the ArchivesSpace Containers tab. At the top of the tab are four search fields: Call Number, Collection Title, EADID, and Barcode. Enter your search criteria into one of the search fields and click the Perform Search button. Search results will appear below the search fields in a grid. 

Note: The Call Number search is fuzzy. The Collection Title and EADID searches require an exact match.

Because a container may contain items from multiple collections, if you search by Barcode, you will get one line in your search results for each collection with items housed in that container.

Working with an Existing Request

You can use the addon to verify or complete citation and/or container information for an existing request. When you open an existing request, the addon will automatically complete a container search using the call number value in the request. If there is no call number in the request, the addon will search by the title value in the request.

Importing Your Search Results

You can import collection (resource or accession) information and container details or just the container and location information.

Click on the top container you want to import then click the Import Container and Citation button or the Import Container button.

Once you click an import button, Aeon will automatically take you back to the Detail tab with the appropriate item information filled in.

      • Resource Identifier
      • HOLLIS ID
      • Resource Conditions Governing Access
      • Top Container Type and Indicator
      • Top Container Barcode
      • Top Container Location
      • Top Container Series

Importing Container and Citation for an Accession will import the following data from ArchivesSpace: 

      • Accession Title
      • Accession Creator
      • Repository Code
      • Accession Identifier
      • Top Container Type and Indicator
      • Top Container Barcode
      • Top Container Location

Importing Container will import the following data from ArchivesSpace:

      • Top Container Type and Indicator
      • Top Container Barcode
      • Top Container Location
