Hilles Transfer Procedures

History: The Hilles library in the Radcliffe Quad closed in 2005. It had been built in 1965 as a replacement for the Radcliffe Library, then housed in the current Schlesinger building, and as such held the historical book collection of Radcliffe College and the Society for the Collegiate Instruction of Women. These books were transferred to the Schlesinger collection, as well as certain subject-specific books that were added to the collection in the post-Radcliffe College Library era. Other books were distributed throughout the Harvard Library system, and 158,000 volumes were donated to the Sun Yat-Sen University Library in China.

 

The books transferred to the Schlesinger fall into three categories:

 

  • Open stacks: these books were in Hilles's circulating collection and have largely been cataloged at this point. Still in the Pool Vault: Shipment 8, Box 10; Shipment 9, Boxes 3,7; A few misc. Some "problem books" are on a cart with Debbie - they mostly have condition issues or are on the wrong record.
  • Locked case: 64 cartons of rare and/or valuable books formerly shelved in a locked case.
    1. Cartons 1-25 have been withdrawn from HD and either cataloged or shelved in the Pool Valut
    2. Cartons 26-64 are still at HD
  • Hilles Vault: These books were shelved in Schlesinger's vault 1 upon receipt. Some have been boxed and are either shelved in the Pool Vault at 116:4:10, or in Debbie’s office awaiting Honor’s DCRM-B cataloging.

Procedures:

All books should have a record in ALEPH. They may be suppressed if there are no holdings other than Hilles. Double check to make sure that the record matches the book in hand, even if there is a suppressed Hilles holding - books have been found on incorrect records. Make sure that any non-Schlesinger barcodes have been cancelled - check inside the back cover as well as the front covers.

All books receive this 541 field: 541  0  $$cTransfer;$$aHilles;$$d2005.$$5sch. The code for the project is "ht".

"Subject" books (women's studies, culinary) with Harvard College Library bookplate and LC number: Schlesinger holding added, classification removed, transferred to HD.

Radcliffe College  books: A 561 is added with the transcription of the bookplate and any additional markings of former ownership (stamps, embossings, etc.) Original Dewey number is no longer preserved. A 710 field is added for $$aRadcliffe College.$$bLibrary,$$eformer owner.$$5sch.

  • Certain book donors who are important to the history of Radcliffe College also receive "former owner" tracings: Le Baron Russell Briggs, (insert more here)

Society for the Collegiate instruction of Women books: A 561 is added with the transcription of the bookplate and any additional markings of former ownership (stamps, embossings, etc.) Original Dewey number is no longer preserved. A 710 field is added for $$aSociety for the Collegiate Instruction of Women (U.S.),$$eformer owner.$$5sch.
