Born digital materials
New titles
Place PDFs of born digital materials in department Sharepoint under Digital Pub. Materials → Pub materials ready for deposit → and then either Harvard only or Open access
Catalog the document as an electronic resource.
Send the MMS id and the link to the PDF in Sharepoint to Digital Services for deposit.
When Digital Services returns with a link to the DRS, place link in Alma portfolio.
IF the title is a periodical, the Published Materials department will create a Listview object. Place the URL for the Listview into the Alma portfolio.
In portfolio public note, provide gift and access information. Example: Open access. Gift of the author.
New issues
Place PDFs of born digital materials in department Sharepoint under Digital Pub. Materials → Pub materials ready for deposit → and then either Harvard only or Open access
Send the MMS id and the link to the PDF in Sharepoint to Digital Services for deposit.
IF the title is a periodical, the Published Materials department will update the Listview (see below).
HOLLIS ListView
After born-digital periodicals are deposited and the links are created, the issues need to be added to HOLLIS ListView in order to create the issue-by-issue listing that shows up in the catalog. [Logins for HOLLIS ListView have to be added/created by someone in LTS?]
ListView can be used to add issues to an existing online resource record or to establish a listing for a new born-digital periodical (as long as it already has a record in Alma). The only required information is the HOLLIS MMSID number, the title, and any author/creator statement, although there is also space to include further details, including a free text field for supplied description. All information must be entered manually into ListView (or uploaded)–the system does not pull from the record.
