Duplicating Bib Records

Duplicating allows you to create a copy of an existing bibliographic record

  1. Starting from the repository search, select the bibliographic record you want to duplicate, then select Edit Record
  2. From the Metadata Editor, select File >> Duplicate
  3. Both records appear in the left pane, each with its own MMSID number. The new record has a black or grey house icon because it has not been saved yet.
  4. Edit the duplicate record as needed, then Save and Release (Ctrl+Alt+R)

If you try to save the duplicated record without making any edits, a pop-up message prompts to confirm that matched records exist in the catalog and asks if you want to view them before saving.

Notes on Duplicating Bib Records

  • Don’t duplicate an OCLC number
  • Make sure to update fixed fields if necessary
  • Remove migrated Aleph/HULPR number from duplicate record, if present
