July 2022 Release - Harvard Highlights

Items in blue were added July 11, 2022.

Ex Libris Documentation

Harvard Alma working groups have summarized key updates below. See the Ex Libris monthly notes for complete details:

General

  • Read Only roles do not behave as expected and can edit configuration tables. This was fixed and read-only roles do not have the ability to make configuration changes.

Analytics & Reporting

Resolved

  • Previously, the Creator field in the Requests subject area did not display the original creator of the request if the request was canceled or completed. This was fixed.
  • Due to a problem in the process that ensures data is not inadvertently duplicated, Counter 5 data was not reported correctly in Analytics. The problem was fixed, and Counter 5 data is now reported accurately in Analytics.
  • The out-of-the-box Cataloger Activity Report displays the number of modified records per cataloger. However, instead of the name of the cataloger, the report displayed "System". This was fixed, and now the report displays the user name of the cataloger.

Acquisitions/Finance

Resolved

  • When searching for PO lines by MMS ID number, unassigned PO lines were not found. Similarly, in a bibliographic record that was found by its MMS, unassigned PO lines were not found when the Order link was selected. Alma now finds unassigned PO lines for MMS IDs in both of these cases.
  • An Additional information field could not be included in invoices that were imported from Excel. Support for this field, as well as two others (Fourth Reporting Code and Fifth Reporting Code) was added to the import-invoice feature for Excel, and these fields were also added to the sample Excel file.
  • Subscription orders appeared in the Claims task list even when there was a predictable pattern in use and the items that were not yet received had an Expected Receipt Date in the future. This was due to a miscalculation of the claiming date. The problem was fixed, and subscription orders no longer appear in the Claims task list unless their Expected Receipt Date has passed.
  • When the PO Line did not have a PO or a vendor invoice number populated, this caused the process to get stuck in the finishing step. This was fixed and now the Metadata Import Job operates without getting stuck and does not prevent other files from loading.

Course Reserves/Leganto

Enhancements

  • Use "Demand in Other Lists" to Support Purchasing Decisions. For purchase requests created from a citation, the Course Information section of the purchase request now includes a Demand in other lists, other courses link. Selecting the link opens the Manage Resource Options window, enabling you to easily view information (such as course, number of participants, tags, etc.) about this citation in other lists and courses.
  • When reviewing and processing citations, library staff can view "Demand in other lists". And use it to understand which other reading lists or courses utilize the same resource.

Resolved

E-Resources

Resolved

  • Material types created in the Community Zone only contained uppercase letters, while those in the PackageType code table used when creating PO lines in Alma could contain both uppercase and lowercase letters. As a result, the Material type in PO lines created from the Community Zone were not matched to the corresponding PackageType codes in Alma, and ‘(not listed)‘ appeared beside the Material type in the PO line. The code table has now been updated to align properly with the Material types coming from the Community Zone.
  • When filtering the Community Zone Updates Task List by Has Local Information, incorrect results are returned. This was fixed and filtering now yields the expected counts, numbers, and results
  • Some changes in the Electronic Collections, Services, and Portfolios level are not recorded in the History tab. This was fixed by adding the Counter platform to the History tab in Electronic Collections and Portfolios, thus recording all changes on each level ‘Collection, Services, and Portfolios‘.
  • The ‘Local Coverage‘ was not overriding the ‘Global Coverage‘ for portfolios with group settings updated by the Upload Electronic Holdings job. This was fixed and now all uploaded portfolios display the ‘Local Coverage‘.

Fulfillment

Resolved

  • When a user marked an item as missing on the Pick from Shelf page, open requests for the item were canceled without warning the user. Now, when a user marks an item as missing, a message appears warning them that existing requests for the item may be canceled as a result.
  • Clicking Toggle Missing Status on list items displayed on the list‘s second page or above resets the pagination back to the first page. This was fixed and now when clicking the Toggle Missing Status, users stay on the current page they were at.

Resource Management

Resolved

  • In Manage Sets, when viewing a logic collection set, the Catalog Set option is not displayed in the row‘s actions. This has been fixed, and the Catalog Set option is displayed in the row actions.
