April 2022 Release - Harvard Highlights

Ex Libris Documentation

Harvard Alma working groups have summarized key updates below. See the Ex Libris monthly notes for complete details:

General

Enhancements

  • New search option in Physical Items - limit searches to specific libraries using the new "library scope" feature under Facets. This preference is saved for future searches and will persist for all your future sessions. This feature is also available for Holding searches.

Resolved

  • Add Members to Set Job Report: the downloaded error file contained a list of all records instead of just the errors. This was fixed.

Analytics & Reporting

Enhancements

  • Digital Waitlist subject area added to Alma Analytics. With the fields of this subject area you can create reports that describe the usage of the waitlist feature in Alma, such as the session start, end, and grace period. This subject area allows you to answer the following business questions:
    • How many sessions were in a specific timeframe?
    • How many of those sessions were in the waitlist?
    • How many session returned the resource early?
    • What is the average actual session time?
    • What is the average waiting for a given Rep ID?
    • What is the actual session length for a given Rep ID?
    • What is the average session length?
    • How many users missed the Grace Period?
    • What is the average Grace Period used?

For more information about the Digital Waitlist subject area, see Digital Waitlist.

  • The Access Model field was added to the PO Line dimension in the Funds Expenditure, Physical Items, and Purchase Requests subject areas. It displays the public access model for the electronic resource.
  • The following field names were changed in the Analytics Objects Measures dimension of the Analytics Objects subject area to improve clarity:
    • Num of Users Subscribers was changed to Num of Used Subscriptions
    • Num of Widget Users was changed to Num of Used Widgets

In addition, the following fields were marked to be deprecated:

    • Num of Users Subscribed to Dashboard (to be deprecated)
    • Num of Users Subscribed to Report (to be deprecated)
    • Num of Users Subscribed to Scheduled Report (to be deprecated)

Resolved

  • Loan Note field (Fulfillment > Loan Details) did not display data. This was fixed.
  • Subfield $$v (for volume) did not display data for the 800, 810, and 811 fields. This was fixed.
  • Electronic Collection Additional PO Lines field (Electronic Collection >E-Inventory) did not display data. This was fixed.

Acquisitions/Finance

Enhancements

  • (blue star) Label change in POL workflow:  from "Waiting for Renewal" to "Recurring Renewal." This is still associated with "Continuous" POLs that have Automated Renewal or Manual Renewal. POLs that are set for Manual Renewal still change to "Waiting for Manual Renewal" when the relevant renewal time arrives. This is a label change only.
  • (blue star) Search POLs by their internal notes. Use the existing Order Lines > All index, or use the new dedicated index Order lines > Internal notes.

Resolved

  • PO line Advanced search by PO Status and Vendor code did not work correctly. Fixed.
  • When clicking on Save and Receive without selecting any item, an error is displayed. This was fixed.
  • Export PO process was completed successfully but the PO was not sent. This was fixed.
  • Order line search results lagged and were slow to display. This was fixed by improving the search results from SOLR.
  • Searching for an invoice with "parenthesis" in the Receiving Workbench failed to get the data. This was fixed and is available with the moving of the Receiving WB to SOLR
  • The vendor account manager did not have the privilege to edit contact details. This was fixed.
  • Sometimes the calculation of the fund balance took a while and caused the next transactions in the file to take the old balance. This caused the fund to be in a negative balance. This was fixed.
  • When the PO Line did not have a PO or a vendor invoice number populated, this caused the process to get stuck in the finish step. This was fixed.

Course Reserves/Leganto

Enhancements

  • It is now possible to customize the Active and Inactive labels for Course Status in the Find Lists search in Leganto separately from the Alma status. The new Find Lists Course Status labels find_list.course_status.Yes and find_list.course_status.No can be found in the Labels table (Configuration > Leganto > General > Labels).

Resolved

  • When instructors rolled over lists, the LTI links did not automatically point to the rolled over list for the instructor. This was fixed.

E-Resources

Enhancements

Fulfillment

Nothing of note.

Resource Management

Enhancements

  • Corrections to Browse Bib Headings - inclusion of missing subfields. This will be rolled out separately from the April release and a separate announcement will be sent.
  • (blue star) Import profile matching configuration: for mutlimatches, there is now an option to prefer the last created record and use that as a match. This overrules any other settings for multimatches except for "Disregard matches for CZ linked records." This option is available only in the Repository and New Order profile types.
