Staff upgrade bib 001 match (MRC) + items



REMEMBER: Only designated staff members are permitted to run jobs. Refer to the matrix at Jobs & Batch Processes to see which staff members are approved to run which jobs.


This import profile is designed for vendor records that include the Harvard Alma 001 MMS ID in the 001 field. No other matching criteria will be evaluated other than 001. 

This profile will merge/overlay the existing Alma record and should be used with caution. The merge routine used is the same one that is used for OCLC WorldCat Updates (see the "Prefer OCLC" column). 


Requirements:

  • Vendor records must be in UTF8 encoding format. Non-Latin fields should be in 880 pairs. 
  • Input file should be in MARC format (not MARCXML)
  • Vendor record must have Alma MMS ID in 001 field. If it does not match to an existing Alma record it will not load. 


Results:

  • No inventory will be created, unless field 049 is present. (See below for details). 
  • If a record is locked by a staff member it will not be overlaid.
  • The incoming record will overlay the Alma record, with certain field being protected. See list of protected fields here: https://harvardwiki.atlassian.net/wiki/x/6aGVAgE
  • This profile cannot be used to map fields to holdings. 

 Item Creation

  • This profile can be used to add multiple items to an existing holding. If no holding exists for the library/location specific in the item data, one will be added.

Example use case:

  • Your vendor retrieves our bib via z39.50 and updates the record in their system. They then send you a file of updated bibs with the Harvard Alma MMS ID in the 001 field, and item information for serials.Â
