Prompts Overview

To allow users to restrict the data output of an analysis to different categories when they run it, you can define user prompts. The user can then select and filter the data prior to running it without editing the structure of the report.

Read the Running Reports in Alma documentation for more on the user side of prompts.


Add a Prompt

After opening a report in Edit mode, click on the Prompts tab and the green + icon to create a new column prompt.

 

Edit a Prompt

The prompt can be modified as required:

  • Use the default Label or click the box to create Custom Text
  • Add a Description if desired
  • Choose an Operator for the prompt
  • Choose a User Input type: text field, choice list, check boxes, radio buttons, or list box
  • Modify additional Options
    • Choice List Values
    • Identify a Default selection (if the user does not make a choice, this is the default response to the prompt)
    • Choice List Width
    • Set a Variable

You can customize additional formatting of text and instruction relating to the prompt in the Display work area on the Results tab.


Practice Example

New Analysis Example (continued)

Set a prompt on the column Library and another one on Creation Date, so that the user can select libraries of interest and pick a range period for item creation.

  1. Open the analysis
  2. Click on the Prompts tab
  3. Click on the green +icon
  4. Choose Column Prompt
  5. Keep the default Label or change it to custom text
  6. Operator is "is equal to / is in"
  7. User Input is Choice List
  8. Options
    1. Choice List Values are Specific Column Values - remove values by click on the value in the drop-down list and then clicking on the red X
    2. Select with a check mark:
      1. Include "All Column Values" choice in the list
      2. Enable user to select multiple values
      3. Enable user to type values
    3. Default selection is None
    4. Leave the Choice List Width at 120 pixels
    5. Set a variable is None
  9. Click OK
