How to use the Catalog in Analytics
Folder | Purpose | Best practices |
---|---|---|
My Folders | This is your folder to do with as you wish. The contents are not accessible to other Analytics users. | Use My Folders for analyses in development, so that others don't find your analysis and think that it's finished and ready to be shared. Use My Folders to store backup copies. Store previous versions as needed or versions used during the development of the report. Organization of My Folders is up to you; you can create subfolders for different projects, types of analyses, or analyses on different Analytics subject areas. |
Shared Folders > Harvard University | This folder is accessible by all Analytics users at Harvard. The folders under here all have a specific purpose. Please don't create your own folder at this level. | Before starting a new analysis, search Harvard University shared folders for analyses that will meet your needs as-is, or with some modification. If you want to use an analysis in Harvard University folders as the basis of a new analysis, first save a copy to My Folders.
|
Shared Folders > Harvard University > _Collaboration | A place to temporarily put an analysis in development so that you can work on it with another Harvard colleague or colleagues. You may create subfolders in this folder as needed. The Collaboration subfolder is for interdepartmental collaboration, an example being submitting a ticket to the Analytics and Reporting Working Group for help creating an analysis. One of the members would save a report to a folder under their name for you to access and verify. |
|
Shared Folders > Harvard University > _Departmental Reports |
Outside of the Analytics Subject areas, there are subfolders organized by Department. For example, each Harvard Library has its own subfolder. If you work in Resource Sharing or in the Yenching Library, you can save your Analytics reports to those folders. | |

Shared Folders > Harvard University > _[Subject Area Folders] | “Canned reports” created for general use by Harvard Library report writers. Although customized for our environment, please still confirm that they apply to your unit’s workflow. Subject area folders are sorted alphabetically. Harvard University subfolders are organized according to the Analytics Subject areas. If you know which subject has the data you need, you can go directly to the folder with the same name and browse available analyses. Analyses in the Harvard University folder have been designed to meet a broad array of information needs and to provide multiple prompts for customizing the output. | designed to meet a broad set of needs and may not be modified. |
Shared Folders
There are three main sub-folders in the Shared Folders directory of the Catalog of analyses:
- Alma
- Community
- Harvard University
- _Collaboration
- _Departmental Reports
They are described below in the order in which you should go to look for existing analyses that may meet your needs (as-is or with some modification).
Harvard University Analyses

Community Analyses
If you don’t find the report you need in Harvard University, you can search reports created by other Alma institutions in the Community folder. For example, searching for ‘ARL’ in Community brings up ARL statistics reports developed by University of Minnesota.
Community also provides an environment for collaborating with Analytics experts at other institutions. Reports in Community are accessible by all Analytics users at all Alma institutions. If you are developing a report with someone at another institution, they (and others) will be able to access the report configuration and make changes.
Ex Libris created Analytics
Alma
Ex Libris created the analyses in the Alma folder for all libraries working in Alma. Ex Libris has tried to anticipate library reporting needs by creating dozens of simple analyses and has made them available for libraries to copy, change, and reuse locally. Most of these analyses require adding a filter or prompt to make them usable with a large data set like Harvard’s.
Leganto
Similarly to the Alma folder, all analyses in the Leganto folder were created by Ex Libris for use by all libraries and departments working in Alma.
Before directly copying an item from the Alma or Leganto folders, check the Harvard University Shared Analysis folder for the analyses that the Alma Analytics & Reporting Working Group is evaluating.
